HR Flow

The HR Module within the system is designed to digitize and streamline the management of all HR-related processes, forms, and approvals across the organization. It provides a centralized platform where HR staff, managers, and authorized users can create, assign, complete, review, and submit HR forms — ensuring consistency, accountability, and transparency throughout all HR workflows.

The module removes the need for manual paperwork and supports efficient operations through role-based access, automated routing, digital document generation, and clear workflow structures.


User Roles & Access Permissions

HR ManagerFull access to create, edit, assign, approve, and submit all HR forms.
HR StaffSupports HR Managers by creating, editing, assigning, and submitting HR forms.
Hiring ManagerCompletes and submits recruitment-related forms or assigned sections.
Budget ManagerCompletes budget-related fields within the Job Order Form when assigned.
Chief of Staff Supervisor (COS)Completes the Chief of Staff approval section in the Selection Action Request Form.
PRC EmployeeCan initiate and complete interview-related forms only (Interview Guide, Reference Check, Applicants Identified).

Key Functionalities

  • Start HR Form Request – Begin a new HR form based on your assigned role.
  • Task Assignment – Assign specific sections to other users with automated system notifications.
  • Role-Based Access – Users can edit only the fields and pages allowed for their role.
  • Save and Exit – Save form progress and continue later (for forms that support drafts).
  • Submit and Generate Document – Validate entries, generate a PDF, and mark the form as completed.

Central Queues

  • My Pending HR Forms – Forms currently in progress.
  • All HR Forms Completed – All submitted forms with attached documents.
  • My Completed HR Forms – Forms completed by or assigned to the logged-in user.

Immediate Submission Forms

Some forms must be completed and submitted in one session and cannot be saved as drafts:

  • Interview Guide Form
  • Reference Check Guide Form
  • Exit Interview Form
